Study Visa Application Procedure in Canada

List of Supporting Documents:

The application package should contain the original and 1 photocopy of all the documents listed below:
For the original documents which you need back, e.g. Marksheets, Certificates, IELTS Certificate; you should NOTARIZE the photocopies and it will help to avoid the application for 'Request to Return Back the Originals' with passport resubmission after Medical test.

1. Passport:

MRP is better. Validity should be more than your declared study period.
M.Sc.-2 years, Ph.D.-5 years (Make two Photocopies of first 5 pages; one they will need both the photo copy and original one)
The will require the old passports also (if you have them).

2. Birth Certificate:

From your Local City corporation, needs ~50 taka (Make one photocopy of original one they will need both the photo copy and original)

3. Police Clearance Certificate (PCC) :( Make one photocopy, they will keep the original one) (Should be in English)

Police Clearance Certificate (PCC) can be obtained easily from the one-stop service center of Dhaka Metropolitan Police HQ in Bailey Road. It will be delivered on the 7th day from the date of application submission.Many have got the VISA without the Police Clearance Certificate, but it is preferable to submit it with the application as they might not run a thorough background check if you submit it and that is supposed to reduce the VISA processing time. In the website of www.cic.gc.ca, it is said that they just might ask for it : http://www.cic.gc.ca/english/information/applications/guides/5269ETOC.asp . i) Requirements for PCC:

a) Photocopy your passport (first 6 pages plus any page related to validity extension or correction of information in case of the old passport). Take the original with you as well.
b) Every page of the photocopied passport must be attested by a First Class Government Officer.
c) Pay the service charge of BDT 500 by using "Treasury Chaalan" from Sonali Bank. Not all branches of Sonali Bank will do this. Use the following code for payment. The code must be written! The code is 1-2201-0001-2681.
d) Write an application addressing to "The Commissioner of Dhaka Metropolitan Police".
e) You must mention your cell phone number in the application.
f) You must know your local Police Station (Thaana). Try to visit it on the 3rd day. They might ask you to bring your National ID card. Take a photocopy of it.
g)Sometimes they ask for the Ward Commissioner Certificate. Take an attested photocopy if you have one or do not have problems procuring one.

ii) PCC Application Process:

a) Go to the DMP (Baily Road); follow the sign for the One-Stop Service Center.
b) Submit your application.
c) Get the token.
d) Someone will contact you from your local Police Station (Thaana) and will make an appointment with you. Make sure you are present at home (the address you stated in your passport) at that time. Everything is based on the permanent address you mentioned in your passport. So if there is any issue with that, resolve it beforehand. [Remember, the assigned Police Officer is bound to give a feedback on you either positive or negative. So, bribing is not suggested]. Just ask the Police Officer politely about the feedback.
e) You should go back to the same place to collect the certificate. The collection date will be mentioned on your token. you can collect it only after 4pm.


4. University Offer Letter:

All Canadian University issues an original offer/acceptance letter mentioning level of study, educational expenses, estimated living costs per year and study period.(Bring photocopy of original one they will need both the photo copy and the original one).
If you have accepted your offer through emails. Print out the email correspondence, the ones which are only relevant to your acceptance offer (its not supposed to be more than 3 mails)

i)The mail through which they offered you admission
ii) the mail through which you accepted i
ii) the mail through which they acknowledged.

There have been cases where they asked for print out of emails if acceptance has been solely through emails.


5. Departmental Scholarship Document:

Signed photocopy is acceptable. (Bring photocopy of the original one. They will need both the photocopy and the original one)


6. Educational Documents:

(IF YOU BRING NOTARIZED PHOTOCOPIES OF THESE DOCUMENTS, THE ORIGINALS WILL BE RETURNED FROM THE VFS COUNTER. IT MAY HELP TO AVOID THE 'REQUEST APPLICATION LETTER SUBMISSION' WITH THE RESUBMISSION OF PASSPORT AFTER MEDICAL TEST)


a) S.S.C. certificate and mark sheet/ O Level certificate(s)
b) H.S.C. certificate and mark sheet/ A Level certificate(s)
c) Honors degree certificate and transcript/mark sheet
d) Master’s degree certificate and transcript/mark sheet
(Bring photocopy and the original one. They will need both the photocopy and the original one)

7. English Language Proficiency Certificate

IELTS/TOEFL certificate (Bring photocopy and the original one. They will need both the photocopy and the original one). IF YOU BRING NOTARIZED PHOTOCOPY OF THE CERTIFICATE, THE ORIGINAL WILL BE RETURNED FROM THE VFS COUNTER.

8. Financial documents:
  1. If you have funding/scholarship/stipend, mention it. But to be safe, you may also attach some other documents e.g. Employment Letter, Salary Statement, Personal Bank Account Statements/FDR certificates/Family Property Summary, Sponsor's employment status etc.
  2. If you do not have funding/scholarship/stipend, you have to make sure that you show enough money to meet your expenses in the form of your or your sponsor's savings account/FDR/Sonchoy Potro and/or family property. 9. Documents regarding parents residing abroad

If your father or mother is currently residing abroad, whether he or she is your sponsor or not, you MUST provide his or her :

a.) Proof of status in that country
b.) A copy of resident alien card
c.) Bank statement in that country


Documents required:


1. If your funding is provided by a sponsor (either parents or third party), partial or complete, you must also include:

a) A notarized declaration of sponsorship. If you have more than one sponsor, a separate declaration must be provided for each one of sponsors. However, sponsors who are husband and wife (for e.g.: both your parents) can appear on the same declaration.


b) Details of assets and income for each sponsor with supporting documents such as property documentation, land deeds, rent agreement, business license, business tax information, employment letter with salary information. You must also provide the sponsor's last income tax forms (tax assessments and income tax clearance certificate showing total income and amount of income tax paid).
In some cases where you have applied or contacted a lawyer before the time of tax assessment and much later than the time it was assessed last year, he or she may say that you may only receive the TIN number or the certificate where it says you are an asses-see and you will not receive the Tax clearance certificate; in that case if you provide enough money for late fees and other fines it is possible to get the Tax Clearance certificate and also the Tax assessment if you want him/her to provide that.

2. If your sponsor is not a resident in Bangladesh you must include:
a) Relevant tax assessments from their country of residence. (Example: Notice of Assessment from Revenue Canada for a sponsor residing in Canada)
b) Proof of the immigration status in the country of residence. (Example: proof of citizenship or permanent residence)

3. If someone other than yourself or your parents is your sponsor, you must include:
a) A letter of explaining why this person is assisting you
b) Number of persons living in his/her household
c) Proof of that person's relationship with you: birth, marriage or school certificates, passport etc.

Note that affidavits or self-declarations are not acceptable as a proof of relationship.


9. Photographs as specified:

Photographer is an expert at this. You have to mention that you will need this photo for Canadian VISA. They will take care of rest.

i) Example of cost of studies (for one year): CAD 9000 (Tuition) + CAD 8000 (Rooms and board) + CAD 3000 (Other) = CAD 20000
*Other includes your two-way ticket fare and other miscellaneous costs
*Tuition fees will be the amount mentioned in you offer letter from the university
ii) Funding available: CAD 19000 (Scholarship/Funding/Stipend from the university) + CAD 11000 (your own personal source of funding) = CAD 30000

Remember, after completing the form in the PC, you should press "validate" which will produce another page at the end. Print all 5 pages. Once you press validate, you can't modify anything further. If you made a mistake, delete the file. Download a new one and restart. 

Or before validating you save as the PDF with another name, then validate the document. If you made a mistake, then you can change on the previous one. You will need Acrobat Reader 10.1.3 to open this file. 

C. IMM 5645E (Family Information Form)

D. Family Questioner: to be filled up with the applicant's (if employed) or the sponsor's information. (You have to fill the last page of Family questionnaire TWO Times. One including the info of your current position, Salary, Address and in the Second one, you should include the information of your perspective university, TA/RA etc., Address). It is not recommended to include assets in the family questionnaire which have not been mentioned in the declaration of sponsorship papers. It is better to maintain consistency.


E. Study Permit Questionnaire: In the new system, Study Plan will do the job of Study Permit Questionnaire, but till now they are taking both if you insist.

F. Study Plan : It is similar to the previous Study Permit Questionnaire , you will answer a few more questions.

• Why do you wish to study in Canada in the program for which you have been accepted?
• What is your overall educational goal?
• Why are you not pursuing a similar program in your country of residence/citizenship?
• How will this program enhance your employment opportunities in your country of residence/citizenship?
• What ties do you have to your country of residence/citizenship?
• If it has been more than 2 years since you have left full-time education, please provide your C.V. (resume)
• In the case of a minor applicant, what are your reasons for wishing to study in Canada? What is your parents'/guardians’ immigration status in their current country of residence?

My proposed course is Master of Science in Computer Science (Thesis-based) and my research area of choice is Computer Graphics.

I was interested in Computer Graphics through reading articles about computer games and wanted to do research in this field. My undergraduate studies in the field of Computer Science and Information Technology heightened this interest.  After finishing my undergraduate studies in Computer Science, I started my career in the teaching profession as a lecturer in the University of Asia Pacific. In teaching profession, a M.Sc. degree is vital for the career. It is vital in earning the proper knowledge for the purpose of teaching his students in the relevant topics and it is also important for getting promoted. The graphics group of the University of British Columbia is extremely good, arguably the best in Canada. Thus combined with the interest that I have in Computer Graphics, my career goals and research interests also influenced me so that I applied at this program.
My overall educational goals are that of earning a doctoral degree and to be always a part of academics and research with a reputed university or research institute.

Canadian Universities are very good for higher studies and some of them are at the top of world university rankings, especially in the Science and Technology sector, with decent lab facilities, experienced faculty members and environment for advanced research. Universities in our country are not so well equipped and not enriched with experienced personnel in the research field I want to work on. Though curriculum has similarity with universities in Canada, the state of the art technologies are not available to carry out advanced level research.
I am in teaching profession and research on computer graphics will develop me with advanced knowledge in this field which will not only be good for my career but also will give me the opportunity to establish and extend this research field in my own country. In our country, in case of recruitment of teachers, a M.Sc. or Ph. D. degree from a reputed University of North America is greatly valued, thus this degree from University of British Columbia will undoubtedly be helpful for my career.
After getting the degree, I will try to start similar courses with the facility of a well-equipped laboratory in any University that I will serve in my country.
The ties I have with my country are my mother whom I need to take care of and the property that I will inherit from my parents.

Summary of Documents needed to present at VFS or To the Canadian High Commission of Singapore (If you apply in person) :

Required paper docs:


  1. Place the study permit checklist on the top of your application package (It will give the Visa Officer a brief about which documents you are submitting and which are not submitting)
  2. Application for a Study Permit (IMM 1294)“Education and Employment” section must be completed if you are 18 years of age or older (please provide this on a separate sheet if additional space is required)
  3. Family Information (IMM 5645) [Applicants under the age of 18 must have their forms signed by a parent or legal guardian]
  4. Processing fee payment receipt (After checking your documents by VFS collection officer)
  5. Hard copy of your Acceptance letter (If your acceptance is conditional, you must show you can meet the conditions)
  6. Proof of Scholarship(s)/Funding(s) provided by your university/Department [This can act (instead of/with) proof of funds mentioned in number 9]
  7. Official Fee Schedule which includes the exact amount of tuition fees you are required to pay, accommodation and meal plans, miscellaneous expenses (medical insurance, book, memberships, etc.) - This document should come along with the acceptance letter
  8. Notarized copy of all educational certificates: S.S.C. (Transcript+ Main Certificate) / O-Levels , H.S.C.(Transcript+ Main Certificate ) / A-Levels , B.Sc. (Transcript + Provisional), Masters (If applicable) 
  9. Proof of funds : Bank statement(s) + Solvency certificate(s) showing financial history and the account balance over the past six (6) months
  10. A written explanation as to the source of funds (You don't need it if you explain this on the notarized declaration (Affidavit), Which also do the same thing.
  11. Documents pertaining to other types of assets such as stock market/investment accounts, bonds, real estate/property, income from rental properties, proof of pension, business transactions may be included, although these should not be used to replace the bank statement(s) document(s).
  12. Notarized declaration from the sponsor(s) [Though the recent checklist don't ask for it, you should present)
  13. Tax documents/Business proof documents:Income Tax certificate + Business tax letter + VAT registration certificate + Export import certificate (If the business deals with export-import) + Company's bank statement (If you/Your sponsor is self-employed/Sole proprietor of that company)
  14. Last two year tax assessments (This is the tax assessment proof/As most BD people show less property on the tax file, So if you don't want to show it, then don't, Tax clearance certificate will do the job.
  15. City corporation tax receipt for properties (If you wanna give extra proof, though CA farms valuation will do the work)
  16. Property valuation by CA farms (And don't forget to notarize this docs to strengthen it) [Number 14,and 15 are for people who want to show their properties as country ties as well as proof of funds)
  17. Passport (Machine readable is highly recommended) + 2 set photocopy of first 4 pages
  18. 2 passport size photographs as per the photo guidelines of the embassy for you and each accompanying persons (Don't forget to Write your name and date of birth on the back of the photos)
  19. Original Police clearance + 1 photocopy
  20. Birth certificate + 1 Photocopy (Or Notarized birth certificate+ 1 Photocopy)
  21.  Marriage certificate (If applicable)
  22.  Statutory Declaration of Common-law Union (IMM 5409) (If applicable)
  23. IELTS/TOEFL result notarized copy + photocopy
  24. If studying in Quebec, evidence of a valid Certificat d’acceptation du Quebec (CAQ)
  25. Appointment letter/Employment certificate [If applicable for you and/or for your sponsor(s)]
  26. Salary Statement [If applicable for you and/or for your sponsor(s)]
  27. Study leave letter (If employed and taking leave from the employer)
  28. Custodian Declaration from your parent(s) and from the custodian in Canada if you are under 18 years of age(for schools in Alberta, Manitoba, Ontario, Prince Edward Island, Quebec and Saskatchewan) or under 19 years of age (for schools in British Columbia, New Brunswick, Newfoundland, Nova Scotia, North West Territories,Nunavut and the Yukon).
  29. Study Plan: As per the guidance of the new checklist from the VFS website.                         


After you have applied, they may email you asking for further documents. In those cases you should send those documents as a reply to the message they sent and you must include your : full name, date of birth , e-mail address, passport number, mailing address, and phone number in that reply mail.

In a certain case they asked for the applicant's father's proof of status in USA , copy of resident Alien Card and Bank Statement in USA, the applicant send the soft copy documents as a reply message and also mentione that his father will be directly sending the hard copy documents to Canadian High Commission, Singapore ( to reduce delay). VSF verbally suggestes that if the applicants father sends the documents to the applicant to send them through VSF, it will be too late.

Medical Test:::

1. After the application submission, you'll have to wait for VFS response mail. You can track your application-

2. If your documents are ok, you'll receive a mail "you can collect your passport".

3. Collect your passport from VFS office where you'll get medical test info and forms.

4. For med test 3500tk + 2passport copy photos will be needed.

5. After completing the test, submit your passport + Passport photocopy + An application referring the Visa officer, Singapore, for returning the original documents.

On ......date....... I submitted the originals of most of my personal and all of my educational documents to the Visa Application Center authority and some of those documents are non-replicable. I also submitted the photocopies of all of my non-replaceable original documents along with my application package.
The list of the original non-replaceable documents that I provided with my application package and which I’ll need in future is given bellow (A total of 13 original documents):
1. Original copy of my birth certificate (1 document)
2. Original copy of my police clearance certificate (1 document)
3. Original copies of my university acceptance letters and scholarship document (3 documents)
4. Original documents of my accommodation confirmation with payment receipt (1 document)
5. IELTS result (1 document)
6. Original Educational documents (Secondary and Higher secondary exams certificates, Transcripts and testimonials) – A total of 6 original educational documents which issue once.
7. ..... If you have anything else.
Therefore, I kindly request you to return these non-replaceable original copies of my documents along with my application package as I’ll need to present most of them to different authority in future and oblige thereby. I hope you’ll understand my situation. Thank you in advance for your kind consideration.
